REGIONAL FINANCE AND ADMINISTRATION ASSISTANT (x4) HARARE, MUTARE BULAWAYO, GWERU

Under the direction of the Finance Manager (USAID), The Regional Finance and Administration Assistant will be responsible for the coordination of the Finance, Human Resources, Procurement and Logistics and Administration functions of the Region (Site Clinics & Drop-in-Centres) in compliance with donor regulations and CESHHAR policies and procedures.

Duties and Responsibilities

Financial Duties
• Compile cost inputs and supporting documents for the Region to assist the Finance Manager in coming up with well-informed and accurate budgets.
• Support the Regional Coordinator in preparing the monthly cash requests for Clinic Sites/Drop-in-Centres (DICs) in line with the activity plans.
• Facilitate the processing of all Regional payments on time, including advances for outreach allowances & other activities, monthly community cadres allowances/incentives, and payments to suppliers of goods and services.
• Review all district acquittals/expense reports for compliance with CESHHAR policies and procedures prior to submission to Head Office.
• Maintain a petty cash float for the Region and submit consolidated petty cash requests and acquittals to the Regional Coordinator for approval.
• Create and maintain copies of financial records, scan all payment records for e-filing, and share them with HQ for review before capturing them in the accounting system.
• Capture financial transactions, inventories, and assets in the accounting system.

Administration Duties
• Collecting and submitting HR documents to and from regional staff to Head Office
• Creating, maintaining, and updating the database for community cadres in the Region, coordinating and keeping track of the submission of their time sheets and reports, and supporting the quarterly recruitment of interns by filing recruitment minutes and registers.
• Scheduling meetings, minuting, and filing
• Ensuring all office rentals and utilities contracts & payments are up to date
• Attending to minor office repairs & maintenance and communicating major issues to be attended to
• Inspecting Regional assets and properties, tagging them, and ensuring they are adequately secured for safeguarding the assets
• Maintaining the Asset Registers and Office Asset listings, recording all asset acquisitions therein, and submitting a monthly Asset Report to the Finance Manager by the 5th of each month
• Maintaining inventory records, recording all supplies received on stock sheets, and coordinating inventory stock counts for all Clinics and DICs in the Region, submitting a Consolidated Inventory Report to the Finance Manager by the 5th of each month
• Maintaining office equipment to ensure operational efficiency in the offices
• Maintaining and updating the Regional Policies File

Procurement & Logistics
• Coordinate the development of consolidated procurement plans for Regional offices.
• Raise procurement requisitions for Regional sites.
• Assist to procure and verify workshop venues for Regional workshops, ensuring compliance and value for money.
• Coordinate the organization of workshops and conferences for the Region as per guidelines and appropriate venues.
• Order office supplies as needed, keep track of inventories, and ensure the office runs efficiently.
• Schedule maintenance of program vehicles and liaise with HQ Logistics Officer for backup to ensure adequate transport for programs.
• Coordinate monthly fuel requirements for the Region and submit consolidated fuel request to HQ Logistics Officer by the 25th of each month.
• Collate and review vehicle log sheets and fuel acquittals for the Region monthly before submission to HQ.
• Prepare the monthly Finance & Administration report for the Region by reviewing and consolidating input from all Site Clinics & DICs in the Region and submitting it to the Finance Manager by the 5th of each month.

Qualifications and Experience

1. At least a Degree in Accounting, Business Studies or Administration (where courses on financial management, administration, human resources management were part of the degree curriculum).
At least 1 year experience in finance and administration in the non-governmental or donor sector
Familiarity with donor regulations and administrative procedures in the implementation of donor-assisted projects.
Ability to reconcile and track financial transactions
Experience with accounting packages and MS Office 365 suite.

Purpose of the Position:
The Disability Inclusion Officer will support the USAID/Bureau of Humanitarian Affairs (BHA) funded Protection and Nutrition Emergency Response for Mudzi (PRONE for Mudzi) Project in integrating and mainstreaming gender and disability across project interventions. The Project will support the Ministry of Health and Child Care (MoHCC) and stakeholders to strengthen emergency nutrition and protection response in Mudzi. The project interventions include infant and young child feeding, integrated management of acute malnutrition, Supplementary Nutrition Assistance (Vouchers) and GBV Prevention. S/He will provide technical support to project staff on gender and disability, inclusion of disadvantaged population groups among the project participants and the community. The Disability and Inclusion Officer will work closely under the Project Manager with support from the Advocacy Coordinator

Major Accountabilities/ Responsibilities:
Provide technical support on Disability and Gender aspects of the PRONE for Mudzi project.
Ensure the project implements key gender and disability inclusion components.
Analyse and ensure the interventions are sensitive to issues of inclusion of disadvantaged populations, groups /people with special needs.
Develop a gender/disability checklist of gender sensitive indicators to be used by all project staff while carrying out their work.
Develop training and promotional materials for gender and disability training initiatives.
Monitor and report on the project related disability and gender issues in the area monthly and quarterly.
Responsible for the accurate budgeting for disability and inclusion activities on a monthly basis, quarterly and annual basis.
Track and report expenditure incurred under disability and inclusion key milestones (Budget Versus Actual) BVA
Liaise with stakeholders and civil society organisations, in the area to facilitate and enhance contribution towards the implementation of the gender and disability agenda.
Represent WVZ in the protection and Sexual Gender Based Violence Technical working groups (TWGs)

Develop and maintain networks with other NGOs, local governmental departments, agencies, churches, etc.

Position Summary
The position assists the Provincial E-HR Support Officer to maintain Impilo E-HR hardware and software infrastructure in the province to ensure there is minimal system downtime at facilities.

Duties and Responsibilities

Responsibilities
• Provide first line ICT Support.
• Perform occasional operating system software installation, patching, upgrades, and simulating system support processes.
• Conducting regular systems testing, documenting findings and all reported challenges through replays and scenario creation.
• Documentation of user feedback and identifying clinical and technical requirements.
• Performing user needs assessment as well as training of users and stakeholders on the system processes and changes.
• Escalation of unresolved issues according to standard practice and procedures and service level agreements.

Qualifications and Experience

• Bachelor’s degree in computer science or equivalent.
• At least 2 years’ experience in system development, networking, or server setup.
• Minimum 2 years’ experience providing comprehensive technical support to users of computer software.

• Basic knowledge of system security (e.g., intrusion detection systems) and data backup/recovery.

General Position Summary
The Portfolio Management and Grants Lead will work under the direct supervision of the Country Director. They will work closely with the Program Managers, Technical Leads, Finance, Operations, MEL specialist and all other field departments in coordinating all grant applications and related responsibilities. To successfully perform these responsibilities, the successful candidate will act as a key liaison point for networking with donor and potential partners in Zimbabwe. The Portfolio Management and Grants Lead will be the main focal point for all Mercy Corps program reports including reports submitted directly to donors, reports submitted by Mercy Corps headquarters, and clusters and other external reporting. They will be the focal point for coordinating the development of concept notes and proposals, ensuring that necessary internal approvals are granted, and the budget and narrative requirements are met. STRATEGY & VISION
• Working with the Country Director, the Senior Management Team (SMT), and other team members, maintain a central role in developing and communicating MC’s overall program strategy and priorities in Zimbabwe, ensuring alignment with MC’s regional priorities, country
strategic objectives, and the agency’s core technical approaches.
• To serve as a member of the Senior Management Team, prioritizing and organizing actions & resources to achieve objectives and contribute to country-wide strategy development.

• Professional certification (e.g., MCSE, Network+, CISCO, COMPTIA, AWS or RedHat/LPIC)

• Proven working experience in installing, configuring, and troubleshooting UNIX /Linux based environments.

• The Education, Parenting, and School Officer is responsible for planning, coordination, and implementation of the DREAMS Project in school-based activities.

• She/he is responsible for providing technical capacity-building support, mentoring, and supporting teachers in the delivery of comprehensive sexuality education (CSE).
• Facilitates and coordinates teacher meetings and joint school support visits, ensuring the availability of resources and tools for the delivery of Guidance and Counselling and CSE.
• The officer collaborates with community structures to identify and facilitate reintegration into school for 10 – 20 years, ensuring the resuscitation and functional Part-Time Continued Education and Functional Literacy.
• Supports the identification of most at-risk AGYW at risk of dropping out on a case-by-case basis and facilitates the provision of education subsidies providing administrative support for the school program, ensuring that the necessary paperwork and approvals have been submitted, as per organizational and donor guidelines and standards.
• Follow up on referrals and strengthen linkages between health facilities, post-violence care, community victim-friendly units, and schools.
• Guides and mentor’s adherence to referral pathway SOPs and protocols for delivery of timely and appropriate services based on risk profiling of AGYW.
• Monitors attendance and retention for education subsidy beneficiaries.
• Coordinates the implementation of the Families Matter Program, supporting the facilitators to implement with fidelity, and tracking performance.

• A Degree in Social Work, Social Studies, Developmental Studies, or any related field
• At least 3 years of experience in implementing community-based programs.
• Demonstrated ability in project design and implementation of AGYW/Health/Social Protection programs.
• Certified WHO L.I.V.E.S training or previous experience in PEPFAR-supported programs.
• Experience in working with different stakeholders, preferably including experience in leading coordination efforts.
• Experience designing and developing programming for youth including adolescent girls and young women.
• Excellent interpersonal and communication skills.
• Ability to work independently, take initiative and leadership.
• Computer proficiency and familiarity with a range of software applications including word processing, spreadsheets, and databases.

Duties and Responsibilities

Quality Control Technician

Our organisation is seeking a Quality Control Technician who will be responsible for making sure that products meet a set of standards.

Duties and Responsibilities

• Procurement and inspection of raw materials
• Inspecting finished goods using industry-appropriate methods
• Checking that the assembly or production line adheres to standards and procedures and complying with legal requirements
• Recording inspection results by completing reports.
• Training the production team on quality control measures to improve product excellence
• Proposing improvements to the production process
• Monitoring the use of equipment to ensure it is safe and discard any that do not meet requirements
• Keeping measurement equipment operating accurately by following calibration requirements and calling for repairs
• Collecting and compiling statistical quality data
• Assisting in the development of test methods and inspection plans
• Determining the causes of product defects and reworks

Trial manager / Study Coordinator

Zvitambo is a multidisciplinary public health research institute with the mission of improving maternal and child health in Zimbabwe, and to apply its findings to improve health globally. Zvitambo conducts research and provides technical support and education to reduce the burden of malnutrition and infectious diseases. Zvitambo is looking for energized and committed Trial Manager to lead a randomised clinical trial in Harare, called Co-SAM. Co-SAM is testing several interventions aimed at improving the recovery of children leaving hospital after management of complicated severe acute malnutrition, including antimicrobials, reformulated ready-to-use therapeutic food, and a psychosocial intervention. Post to start 9 October 2023.

Duties and Responsibilities

The Trial Manager will ensure all research protocols are implemented, including administration of trial drugs, sample collection and visit tracking. They will ensure all staff are qualified and trained in the study protocol. They will coordinate with the three hospital sites to ensure adequate and suitable space is available for efficient protocol implementation. They will prepare the site to receive and work with internal and external monitors as required by sponsors, ethics and regulatory bodies and will conduct post-monitoring meetings with staff and effect any relevant corrective action. They will provide oversight on the performance of laboratory, pharmacy, data management, QA/QC and community outreach departments. They will work across all three research sites (Sally Mugabe Hospital, Parirenyatwa Hospital and Chitungwiza Central Hospital).

Essential criteria:
• Nursing degree with at least 7 years of experience
• Current practicing certificate
• Experience in managing complicated SAM
• Strong clinical trials experience, ideally in a Trial Manager or Study Coordinator role
• Commitment to working as part of a multidisciplinary research team
• Excellent oral and written communication skills including the ability to communicate effectively to hospital staff, and family members of severely malnourished children.
• Excellent organisational skills
• Strong motivational skills
• Ability to work to strict deadlines.
• Fluency in Shona and English.
