Role overview
Support the Country Finance Manager in the management of the Country Office finances
Financial Management: Support the Country Finance Manager in effectively managing the finances and general office management of the Country Office, to ensure accuracy and deadlines are met. Lead and manage the processing of daily country office accounts at defined quality levels and by the agreed deadline.
Ensure salaries are paid and deductions made in accordance with national and VSO Zimbabwe policies. Ensure adherence to finance policies set globally and locally.
IT and data administration: Lead and manage the processing of daily country office accounts at defined quality levels and by the agreed deadline
Budgeting & Forecasting: Support the Country Finance Manager and the People and Operations Managers in preparing budgets as well as quarterly budget reviews and reports as necessary.
Financial Support to Programme Teams: Be a reference point on financial matters in the Country Office. Work closely with the programme team to:
• Monitor project income and expenditure against unrestricted and restricted funds, providing variance analysis
• Manage the donor reporting timetable and ensure reports are produced in a timely manner
• Ensure all donor audits and visits are conducted in a professional manner leading to a positive manner
• Provide capacity building support to programme teams to increase their financial skills
• To monitor volunteers and partners and employees loan and grant s schedules including debt reporting
Financial Support to Volunteers: Provide a financial briefing at ICT and provide capacity building support, as needed. Be a reference point for volunteers and recruitment bases on volunteer grants, HCFA, etc... Ensure before volunteers leave their placement, their finances have been accurately reconciled.
Internal and External Reporting: produce accurate financial reports in accordance with agreed deadlines. To reconcile bank and cash accounts and submit for checking to the relevant manager
Skills, qualifications and experience
Technical Accounting Expertise – ACCA/CIMA level three, Degree in Accounting, Finance or related degree), ideally studying to complete an accounting qualification.
Good technical accounting skills. Experience of financial planning, book keeping practice and principle, knowledge of internal controls, general ledger, cash management and reconciliations, payroll processing and taxation. Experience of financial reporting, measurement and analysis.
Experience of rules and regulations for non-profit organisations. Knowledge of donor financial reporting and donor procurement procedures.
Experience of working in multiple foreign currencies and understanding of foreign exchange hedging.
Financial and Information Technology Systems – Advanced knowledge of Microsoft Office, Excel particularly. Use of accounting software, SUN Accounts system preferred.
The Finance Assistant maybe required to travel to rural district to support partners
